About us

Recently re-founded, the Department of Engineering is rapidly expanding into a world-class research and teaching department. Research currently focuses on information processing systems, robotics, telecommunications, and biomedical engineering, but we are looking to establish new research themes. 

This post will be affiliated with the newly established Centre for Intelligent Information Processing Systems within the department. 

About the role

The Centre for Intelligent Information Processing Systems (CIIPS) led by Professor Bipin Rajendran and Professor Osvaldo Simeone brings together interdisciplinary and diverse expertise synergistically to address future challenges in intelligent information systems, encompassing hardware-software co-design, nanoscale information systems, signal processing, information engineering, and quantum information processing. 

We are seeking a highly motivated and conscientious Project Coordinator to support the successful administration and delivery of one of our research projects in the Engineering Department, providing financial and operational support in line with funder policies and College processes. This will include overseeing post-award administration, finance, scheduling meetings, agenda setting and minute taking as appropriate, and other administrative tasks.

This post requires someone with a methodical approach and a flexible and adaptable manner. The postholder will be able to work with minimum supervision, use their initiative, and manage their time efficiently.

The postholder will have previous office experience and excellent interpersonal, organisational, communication and IT skills and be able to work as part of a wide and varied team.

This is a part-time role, 50%FTE and you will be offered a fixed term contract for 12 months, earliest start date 1st of October 2024, with the possibility of extension. 

About you

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  • Research administration skills and knowledge acquired through relevant role experience.
  • Experienced in supporting diary management, scheduling of meetings, logistical planning, complex travel arrangements, expenses.
  • Highly proficient IT skills (including Excel and Word).
  • Strong administrative, organisational and time management skills and an ability to prioritise a varied and demanding workload and tight deadlines.
  • Excellent written and verbal communication skills including the ability to draft documents and correspondence autonomously to a broad range of audiences.
  • Effective at working independently, and as part of a team, and able to take a proactive approach to complex problem solving.
  • High degree of accuracy and attention to detail
  • Demonstrable experience of budget management and financial acumen.
  • Ability to work independently and as part of a team on research programmes.

Desirable criteria

  • Keen interest in research grant management and experience of supporting research grants in HEI.
  • Good understanding of research management policies including cost recovery.
  • Working knowledge of financial and HR software used in universities or equivalent (e.g. PeopleXD, Unit 4 Business World, Worktribe)
  • Working knowledge and experience applying regulatory policies and procedures in a large organization.
