Duties and responsibilities Course / Programme Administration

  • Process and co-ordinate Module Selection for the department. • Assist Departmental coursework coordinator to ensure all coursework marks are entered on Moodle; contact students regarding non-submission of coursework, picking up any engagement monitoring and pastoral care issues.
  • Co-ordinate start of session arrangements; registration of new students, collate welcome packs, safety booklets, timetables, and other necessary documentation.
  • Work with the senior teaching and learning administrators/departmental tutor to set up induction week(s).
  • Provide administrative support to the teaching and learning team and departmental tutor for timetabling, including the management of ad hoc room bookings and liaising with UCL Room Bookings.
  • Allocate students to courses/programmes/tutorials/projects/placements etc., in accordance with timetable structure and upload information on Portico and Moodle.
  • Process and co-ordinate teaching materials, such as course outlines, study packs, assignments in paper and electronic format, necessitating liaison with teaching staff and students.
  • Responsible for uploading and maintaining course/programme content on Moodle.
  • Work with the senior teaching and learning administrators/departmental tutor to ensure that the entries in the UCL prospectus, advertising materials, programme handbook and web pages relating to designated course/programme matters are accurate and up to date. Examinations and assessment
  • Provide support on various exam-related tasks including processing of final marks, co-ordinating and producing mark sheets for examinations.
  • Provide backup support to examination boards as necessary.
  • Collect and accurately record coursework marks during the academic session, monitoring student progress during the year and organising re-distribution once marked. Engagement monitoring - Operational
  • Work with staff to obtain a complete register or attendance report for students, alerting appropriate staff where risks are apparent as required.
  • Where appropriate, liaise with the relevant teaching and learning administrator and the Departmental Tutor in relation to authorised absence request and monitor students’ return from absence
  • Maintain records of in-course assessment.
  • Assess and find suitable points of engagement for communication with other departments to confirm engagement. Student support and pastoral care
  • Proactively communicate with students who miss engagement points, escalating where appropriate.
  • First line of pastoral care support and escalate to the relevant Departmental Student Welfare Adviser as appropriate. • Attend regular meetings of the Departmental pastoral care team to update on engagement monitoring and related pastoral care issues.
  • Provide back-up for the Departmental Student Welfare Adviser for complex pastoral care matters.
  • Provide cover for wider teaching and learning team in liaison with the Departmental Tutor.
  • Keep updated on regulatory changes (e.g. UKVI regulations) and sector wide best practice for management of student pastoral issues, mental health etc., attending training, updating local processes and cascading information regarding changes to staff and students as necessary.
  • Where appropriate, liaise with the relevant teaching and learning administrators and the Departmental Tutor in relation to authorised absence requests and monitor students’ return from absence.
  • Upload evidence and liaise with the Visa Compliance Team about non-compliance.
