Office of the Vice-Chancellor (OVC)

The Office of the Vice-Chancellor (OVC) comprises staff based on our Colchester and Southend campuses.

Members of the University’s senior management team are based in the OVC, including the Vice-Chancellor, Deputy Vice-Chancellor, Registrar and Secretary, Pro-Vice-Chancellors for Research and Education, the Deputy Registrars, Dean of Partnerships, Dean of Postgraduate Research and Education, Chief of Staff, Deputy University Secretary, Assistant Registrar, and the Campus Manager (Southend).

The OVC is also home to three teams who provide dedicated support to the University’s management and governance functions. These teams:

  • provide high-level PA support for the OVC’s senior management team;
  • manage the Southend campus;
  • and, through the Governance Office, support Council and its committees.

About the Role

We are currently looking for a Receoptionist to join our Southend Campus. This high-profile position requires an efficient, articulate person of smart appearance, who can communicate clearly and pleasantly with phone callers, visitors to, and members of, the University.

Duties of the Role

  • Providing a friendly, efficient contact point for university visitors.
  • Dealing with incoming calls and connecting to extensions – use of the telephone system is with a headset.
  • Providing information and advice to visitors and callers.
  • Receiving and sorting the incoming post.
  • Receiving and logging the external post.
  • Undertaking regular administrative responsibilities that form part of the role; these include using e-mail, Word, and Excel to a proficient standard.
  • Providing a liaison service between members of the University and personal callers to the University requiring information and advice.
  • Ensuring that written information is readily available on the courses and services available within the University and functions and events organised by members of the University.
  • Directing visitors to their required destinations.
  • Being aware of events and activities occurring in the Southend Campus and the wider University at any moment in time.
  • Liaising with Facilities Management and Security on a regular basis re portering, deliveries and the loading bay.
  • Assisting with clerical and secretarial support services as may be required from time to time.

Skills and qualifications required

The postholder will possess excellent communication and interpersonal skills. You will have good organisational and administrative skills, and be able to demonstrable the ability to work independently and in a team environment with a varied and challenging workload.
