About us

The Department of Mathematics at UCL is an internationally renowned department within one of the world’s most prestigious universities. Since its beginning, mathematics at UCL has been enhanced by its many outstanding members of staff. Indeed, two of its students (and later staff) Professor Klaus Roth (1958) and Professor Alan Baker (1970) have gone on to win the Fields Medal. Another former member of staff Professor Tim Gowers won the Fields Medal in 1998 for work he did whilst at UCL.

This role is working within the Professional Services Team in the Department of Mathematics, which sits within the MAPS Faculty. The department has internationally recognised research groups in pure and applied analysis; fluid mechanics; mathematical physics; geometry and topology; algebra, number theory and combinatorics; mathematical modelling in biology, finance, industry and society.

Main purpose of the job

The Operations Administrator will work alongside colleagues to provide professional services to the Department. The professional services team are responsible for the day to day running of the department, including Finance, HR, research and education support, events and space planning.

About you

The successful candidate will be educated to A level standard, or equivalent, or having acquired equivalent vocational/commercial knowledge and experience of working in this area. They will have experience of providing administrative support in a busy office environment, knowledge of financial processes and regulations associated with general financial administration, and proven experience of providing effective financial support, including the experience of online financial systems such as UCL’s MyFinance System, and experience of providing financial reporting. They will have the proven ability of overseeing event management, and knowledge of GDPR requirements. They will have an excellent level of literacy and oral and written communication skills and an advanced skill level using Microsoft Office, especially Word, Excel and Outlook. They will have a high level of numeracy, with the ability to understand and interpret figures and statistics, and undertake standard calculat ions such as VAT.

An outstanding candidate will have experience of working in a HEI, or similarly complex organisation. They will have experience of using records management systems within an institution, and experience of servicing meetings, including planning, liaising with chair to create agenda, taking and producing minutes, and managing committee papers.
