Are you an organised, resourceful, and detail-oriented professional with a passion for providing outstanding administrative support? We have an exciting opportunity for a Personal Assistant to join the The Nuffield Department of Medicine.
The role involves managing a wide range of administrative tasks, often of a highly confidential nature, and acting as the first point of contact for internal and external visitors. You will play a pivotal role in ensuring the smooth operation of the department by managing schedules, coordinating departmental responsibilities, and organising important meetings and events.
The successful candidate will handle diary management for the Directors of Finance and Operations (DFO's), ensuring that competing demands on their time are balanced effectively. You will liaise with stakeholders, prepare correspondence and briefing notes, and provide administrative support on financial matters such as managing travel, subsistence, and expenses. A key aspect of the role involves making complex travel arrangements for both UK and international trips, including securing visas when necessary.
In addition to supporting day-to-day operations, you will be responsible for organising large departmental events, such as the annual Professional Services conference, Wellbeing Week, and Town Hall meetings. Your ability to ensure that all arrangements, from catering to meeting papers, are handled efficiently will be essential. This role also requires developing successful working relationships with academic and support staff across the department and the wider University.
To be successful in this role, you will possess extensive experience in diary management and making travel arrangements. Exceptional communication skills, including the ability to draft correspondence and produce well-presented reports, are crucial. Proficiency in Microsoft Office tools, particularly Outlook, Word, Excel, and PowerPoint, is essential, as is a high standard of numeracy to manage financial matters. Discretion and tact are vital, as you will be dealing with confidential information.
This position is offered full time, and is fixed term for a period of 8 months.
