Role Purpose

Metanoia Institute is a busy, thriving Higher Education Institute offering training and clinical services. The role is vital within the Institute as it is the first point of contact for internal and external stakeholders.

Role and Responsibilities

To provide friendly and helpful information and assistance to all clients, students and staff, and to provide administrative support for the Clinic team. To receive visitors in an effective and efficient, pleasant and helpful manner.

To provide a comprehensive reception service, including:

  • Greet visitors and ensure staff and visitors are shown the correct space.
  • Show people to meeting rooms and offer refreshments.
  • Answer phone calls through the switchboard, record and relay accurate messages.
  • Book and allocate appointments for clients accessing the service.

To undertake administrative duties, including:

  • Booking assessment appointments and sending confirmation emails to clients.
  • Sending of completed placement reports to students
  • Allocating rooms for practitioners
  • Assisting with the intakes of new students
  • Compiling and entering the cash payments for banking and auditing
  • Requesting feedback from clients on their time at the service

To liaise closely with, and support, the Director of the Clinic and the Clinic and Placement Administration team in the smooth operation of the service.

  • To carry out additional duties as needed
  • To always act as an ambassador for Metanoia, upholding its values and professional standards when liaising with external bodies, attending external events, conferences or seminars.
  • To work in accordance with Metanoia’s Equal Opportunities Policy, Codes of Ethics and Professional Practice, Complaints Procedures and Health and Safety Policy and any other relevant corporate policies which may be introduced from time to time.

Any other duties as may be reasonably required by line manager.

Essential Skills and Experience

  • Skill level equivalent to achievement of NVQ2, GCSE or relevant work experience.
  • Previous experience in an administrative role.
  • Able to demonstrate a sufficient knowledge of work systems, equipment processes and standard IT packages.
  • Able to demonstrate a good knowledge of the role and its context.
  • Experience of database usage.
  • Excellent oral communication and presentation skills.
  • Excellent interpersonal skills, with the ability to work alongside colleagues and students.
  • The ability to handle sensitive situations confidently and calmly.
  • Strong organisational, administrative and research skills.
  • Ability to produce clear, accurate and concise written documentation.
  • Ability to work under pressure, to tight deadlines, and to prioritise a heavy workload.
  • Time flexibility and availability
