About us

The School of Biomedical Engineering & Imaging Sciences seeks a skilled and professional administrator as the Business Operations Officer to provide high-quality, general operations support in the School Office.

This role serves as a vital contact point for staff, students, and visitors, ensuring efficient, seamless day-to-day operations. The Business Operations Officer will perform a range of duties, supporting the Head of School and his Executive Assistant, along with other staff in the School Office.

About the role

The post is part of the professional services core team in the School, specifically to support day-to-day operations of the School Office, the Head of School and School Manager, covering a range of tasks including:

  • Preparing meeting materials – including printing, binding, scanning
  • Coordinate and finalise meeting dates
  • Preparing and distributing paperwork
  • Booking rooms, IT support, ordering catering
  • Collecting and greeting visitors
  • Note/minute taking
  • Travel Coordination and preparation of travel itinerary packs
  • Raising requisitions
  • Reconciling expenses
  • Document creation and filing
  • Updating shared resources
  • Provide cover for the Head of School’s Executive Assistant during periods of absence, including diary and inbox management
  • General administrative support to the Head of School

The post holder will interact with a wide range of people, including senior level colleagues from a variety of clinical, academic and government organisations. The successful applicant will have a strong work ethic, be responsive to requests for assistance, and quick to establish strong working relationships. The post requires someone with a confidential and methodical approach and a flexible and adaptable manner. The post holder will be enthusiastic and confident, with previous office experience and excellent interpersonal, organisational, written and oral communication, numeracy and IT skills.

This is a full time (35 Hours per week), and you will be offered a fixed term contract for 2 years.

About you

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria 

  • Minimum level 3 qualifications, e.g., NVQ3, HNC, A levels, AS levels, International Baccalaureate diploma or other Level 3 qualification, plus work experience in relevant operational/administrative posts OR Considerable knowledge and skills gained through work experience in relevant operational/administrative posts with a clear progression in increasingly demanding jobs
  • Strong spoken and written English,  with experience of writing minutes, action logs and reports
  • Strong interpersonal and influencing/behavioural skills with experience of building contacts and relationships across organisations
  • Solutions-focused self-starter, with strong planning and analytical skills, able to manage competing priorities and work with minimal supervision with the ability to work under pressure in a busy environment whilst maintaining accuracy and attention to detail
  • Practical experience of a range of operational processes
  • Good knowledge of MS Office including Word Processing, Excel, PowerPoint, Power Bi and use of email/internet

Desirable criteria

  • Experience of working in the higher education sector and/or a medical/clinical environment with a detailed knowledge of the regulatory, policy and procedural context along with the challenges and opportunities faced by the sector
  • Evidence of an active commitment to career development with the application of learning to the work context
