We have an opportunity to recruit an Administrative Assistant to join our efforts to support the day-to-day running of the NDM Research Building. As an Administrative Assistant, you will deal with a variety of administrative tasks, such as travel arrangements, raising purchase orders, and event administration. This is a busy and dynamic environment, you will take ownership of a portfolio of administrative activity as well as support the Business Manager and PI groups with a wide range of matters, sometimes of a highly confidential nature. As the point of contact for internal and external visitors, you will often be the first interaction colleagues have with the department, so excellent communication skills are vital. Reporting to the Deputy Business Manager and working cohesively with the wider admin team in the NDM Research Building, you will provide administrative support that enables the building to deliver on its commitments.

You will be responsible for managing the shared admin inbox, dealing with incoming requests efficiently and identifying priority items of business for immediate attention. You will be tasked with efficiently organizing the arrangements for seminars and meetings, including catering, accommodation for speakers, and itineraries. You will be acting as a point of contact for academic staff, senior members of the University, sponsors, and collaborators, dealing effectively with correspondence and diverting to other colleagues as needed. Identify priority items of business for immediate attention by undertaking research and interpreting procedures to answer more complex questions as appropriate.

To be successful in this role, you will be educated to GCSE level (including English and Maths)-Grade C/4 or equivalent. You will have a high level of personal discretion and judgment, especially when dealing with sensitive and confidential information; ability to show tact. You will also have a demonstratable ability to manage a varied workload and make administrative arrangements along with a high standard of written and oral communication skills.
