The role
The Programme Support Officer is a key member of the Project, Programme & Portfolio Management Office (PMO) supporting the Projects & Programme Managers within the IT Services division, by providing administration and servicing of the project programme boards and committees they support.
The main purpose of the role is to provide full secretarial and administrative support for the monthly board meetings, committees and other events / meetings, as well as the facilitation and collation of progress reports and other Project and Programme (P&P) administrative duties.

There are 3 positions available: x1 open ended and x2 fixed-term contracts for 12 months.
What will you be doing?
You will prepare papers & presentations for programme boards and other committees / meetings, research, organise and present information, liaise with senior leaders, and support the monthly facilitation of data for progress reports (for tracking progress against the plan, finances, risks, and actions).
You’ll work closely with project and programme managers to review reporting documentation, monitor spend against the P&P revenue budget, responsible for flagging concerns, provide advice regarding administrative practices, consult with chairs and steering groups to agree minutes and actions, and plan / organise all programme activities.
You will deal with all claims, purchases and expenses relating to the team’s business, documenting finance issues, check for completeness, errors and appropriate action, for preparing papers & respond to recurring / ad-hoc issues, deciding on the appropriate course of action to resolve swiftly using own judgement for more complex issues whilst knowing escalation points where necessary, and where to seek guidance.

You will understand some of the key principles of a project framework, and the importance of strong governance, administration, organisation and structure to ensure the success of projects and programmes within the IT Services department for the University.
You will act as a “go-to” for any programme support related issue or query, striving to help us establish ourselves as we grow our PMO team, creating a ‘centre of excellence,’ whilst being flexible, approachable, & proactive supporting any area of the PMO team for those individuals who need it, and the P&P team with problem solving in their own daily activities.
You have a passion for organisation, and getting things done the right way! You’ll possess a curiosity about our growing PMO function and its place within projects and programmes, whilst not fully understanding its role you will appreciate its importance and value within an IT Services environment, and why the PMO function plays such a pivotal role.
