Oxford Brookes University Sport is looking to recruit an experienced, reliable and highly motivated Customer Services Administrator as a member of the Brookes Sport front-of-house team to provide excellent customer service and administrative support for the business.
You are the face of Brookes Sport so you will be responsible for ensuring a professional and friendly welcome, ensuring customers are provided with information regarding our services, memberships and promotional campaigns, whilst managing various email inboxes, answering phone calls and using our leisure management system.
This role is in a busy environment where you will need to prioritise, learn quickly and at times multitask. You will also provide administrative support as required for duties aligned with the front-of-house and Reception Services, supporting the Customer Services Manager in doing so.
The successful candidate will have outstanding customer service experience, communication skills, be ready and willing to provide help and support to our students, staff and community users and be reliable. You must be computer literate, with a working knowledge of Google email and its various applications and familiar with mobile Apps and online portals. There will also be ongoing and personal development training provided in-house.
Working Hours of the post: There is some flexibility in the working pattern, however, it is expected that the role will work across 4 days of the week and the daily routine will involve reception cover and back office administrative work (exact hours to be discussed at the interview) and work cross-site if required.
Qualifications: Good standard of education to GCSE level, including grade C or above in Maths and English.
Experience required for post: Minimum of 1 year proven experience in administration, and reception or customer services environment.
Overall purpose of post: To provide a professional, efficient, friendly and customer-focused service in a fast-paced reception environment. You are the first point of contact for all customers (students, staff members and the wider community) who visit the facilities. Working closely with the Customer Services Manager the post holder will also carry out reception administration duties but will also include resolving and processing financial queries, assisting with refunds, rota allocation, pay claims and ‘talk times’ with casual paid staff. Additionally support the Student-Sport staff with commercial and administrative tasks.

Please note: There is the possibility of working another shift in the receptionist role (grade 4) for approximately 7 hours per week to increase the hours to 37 per week.
