The role

The School of Biological Sciences are seeking to appoint an Administrative Assistant to join their busy Executive Support Team, who work closely to ensure key school activities are managed effectively and delivered on time.  You will primarily cover the reception desk and work closely with the team on a wide range of school administrative tasks. 

This is a varied and interesting role and would suit someone who has good customer service skills, highly organised and can work on multiple tasks and small projects. Due to the nature of the role, you will need to be in the office 4 days a week. 

What will you be doing?

Key tasks include: 

  • Provide general office support to the school’s wider professional service team. 
  • Have day-to-day responsibility of the smooth running of the school’s reception. welcoming visitors, dealing with access queries, managing routine office enquiries in-person, on the telephone and email, reporting maintenance issues and signposting general enquiries to the relevant contacts. 
  • Ensuring the office, reception area and kitchen are tidy and presentable.  
  • Arranging and supporting meetings and events, order catering where appropriate and managing Sky Lounge & G13/14 bookings. 
  • Servicing committees; scheduling the meetings, booking rooms, circulating agendas and taking minutes

We are particularly interested in candidates who have a high-level of organisation. You will be good at thinking on your feet, dealing with multiple demands and adapt to changing priorities on a reception-based role.  

You will have excellent customer service and communication skills, and the ability to form effective relationships with staff and stakeholders across all levels. You will have a supportive approach to work, with a friendly and positive manner.
