We manage technology projects for newly built and refurbished hotels, overseeing their IT infrastructure from inception to completion. Our role involves acting as a key liaison between clients and site managers, coordinating with reliable suppliers for seamless project delivery and consulting on best IT solutions.

Job Overview:

We are seeking a meticulous and detail orientated Document Controller to join our team. The successful candidate will be responsible for managing and maintaining all project documentation, ensuring that all documents are accurate, up-to-date, and easily accessible. This role is crucial in supporting the smooth operation of our projects and ensuring compliance with internal and external standards. This role of Document Controller will support the Project Manager(s) in managing technology projects for our clients by carrying out ad hoc administrative tasks in addition to regularly updating project documents.

While prior experience is not mandatory, a strong eagerness to learn and a high-level of communication is essential, and it is crucial that the candidate has exceptional attention to details skills.

A university degree is required for this position.

Key Responsibilities

Task Execution:

  • Organise and maintain project documentation.
  • Review incoming documents for accuracy and completeness before distribution.
  • Implement document control procedures to improve efficiency and compliance.
  • Assist in the preparation of reports, presentations, and other documentation as required.

Diary Management: Keep the Project Manager informed of key dates by regularly updating diary’s as well as timeline/project plan documents.

Meetings: Schedule meetings with clients and suppliers and take clear notes during these meetings.

Reporting: Provide regular and ad hoc reports to the Project Manager.

Ideal Candidate

  • Skills & Qualities: Strong communication skills, a proactive approach, and the ability to work independently are essential. Exceptional attention to detail skills is crucial for maintaining accuracy within this role. Proficiency in using Microsoft office would be beneficial within this role.
  • Experience: While experience is not required, a university degree is required for this position.
  • Attributes: Highly organised, effective in liaising with clients and suppliers, and able to ensure precision in all work.
