Events & Communications Administrator

Are you a highly organized and creative professional with a passion for events and communications? Join our newly established Department Knowledge Hub as an Events & Communications Administrator, where you will play a central role in planning, coordinating, and delivering impactful events while managing the Department’s communication strategies across multiple channels.

Working closely with colleagues across the Department and beyond, you will help foster a dynamic, interconnected environment that promotes collaboration, best practices, and continuous improvement. This role involves high interaction with staff, students, and external stakeholders, requiring a professional and welcoming approach. Occasional evening and weekend work may be required to support key events.

What You Would Be Doing

Events Management

  • Plan, coordinate, and deliver a range of Departmental and research community events, including workshops, symposia, industry engagements, and outreach programs.
  • Develop and maintain an annual events calendar.
  • Oversee logistics such as scheduling, venue booking, catering, and technical support.
  • Promote events effectively through communication channels to maximize engagement.
  • Provide on-site event support and conduct post-event evaluations for continuous improvement.

Communications

  • Develop engaging content for newsletters, promotional materials, and social media.
  • Manage the Department’s online presence, updating the website with news, events, and achievements.
  • Collaborate with staff and students to highlight key accomplishments and research success stories.

Administrative & Cross-Team Collaboration

  • Act as the first point of contact for event and communication-related queries.
  • Maintain accurate records, mailing lists, and databases.
  • Assist in preparing reports, presentations, and marketing materials.
  • Contribute to the development of a Departmental SharePoint Information Portal.

What We Are Looking For

Essential:

  • Experience in event management, marketing, and communications.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to produce high-quality reports and written content.
  • Proficiency in Microsoft Office and other digital tools
  • Strong interpersonal skills and ability to build stakeholder relationships.
  • A proactive, problem-solving mindset with attention to detail.
  • Flexibility to work under pressure and meet deadlines.

Desirable:

  • Experience writing for and maintaining websites.
  • Copywriting and content creation for social media.
  • Experience in marketing communications within a technical or academic setting.
