Staffing Coordinator

Are you passionate about HR and supporting career development? Join our newly established Department Knowledge Hub as a Staffing Coordinator, where you will play a key role in managing HR processes, supporting recruitment, and fostering a culture of professional excellence.

Your work will directly impact the success of academics, researchers, professional staff, and postdoctoral researchers, ensuring they receive world-class support throughout their careers. Given the sensitive nature of HR matters, a high level of confidentiality and discretion is required.

What You Would Be Doing

HR and Staffing Coordination

  • Manage the end-to-end recruitment process for Departmental roles, ensuring compliance with HR policies.
  • Oversee induction and probation processes, organizing welcome events and tracking progress.
  • Support annual review conversations, promotions, and pay review processes.
  • Manage contract extensions, leaver processes, and ensure compliance with HR regulations.

Training and Development

  • Promote learning and development opportunities within the Department.
  • Assist with organizing training programs and career development initiatives.
  • Support the design and coordination of a staff mentoring program.

Postdoctoral Support

  • Act as a key contact for postdoctoral researchers, supporting their induction, welfare, and professional development.
  • Organize networking and social events to strengthen connections within the research community.

Analysis, Reporting & Cross-Team Collaboration

  • Maintain the Departmental staff database and assist with workforce planning.
  • Contribute to data monitoring for initiatives such as SWAN, REF, and institutional reporting.
  • Help design and maintain a Departmental SharePoint Information Portal for HR content.
  • Support institutional policy dissemination and process improvement.

What We Are Looking For

Essential:

  • Degree-level education or equivalent professional qualification.
  • Experience in the Higher Education sector in a similar or related role.
  • Strong knowledge of Human Resources policies and procedures, preferably in Higher Education or the public sector.
  • Excellent IT skills, including Microsoft Office, e-Recruitment systems, and Management Information Systems.
  • Experience handling confidential material.
  • Excellent written, numerical, and verbal communication skills.
  • Ability to produce high-quality reports and written materials using IT tools.
  • Strong organizational, multitasking, and time management skills.
  • Excellent interpersonal skills and ability to build stakeholder relationships.
  • Analytical and problem-solving skills.
  • Proactive, adaptable, and willing to develop new skills.
  • Ability to work independently and as part of a team.
  • Ability to handle pressure, prioritize tasks, and meet deadlines.
  • High attention to detail.
