Reports to: Head of Warden/CEO’s Office 

We have a fantastic opportunity for an Executive Assistant to Warden to join the Rhodes Trust, Oxford. This role will work with the Head of the Warden/CEO’s office, in support of the Warden/CEO of Rhodes Trust. The postholder will work closely with a broad range of stakeholders across the Trust and partner programmes, managing and prioritising a busy and varied workload.

We are looking for the successful candidate to start with us as soon as possible. 

The role will be responsible for:

  • Work with the Warden and Head of the Wardens Office to effectively manage the Warden and Wardens Office inboxes
  • Work with the Head of the Wardens Office to proactively manage the Wardens diary; scheduling and maintaining all details efficiently and effectively while anticipating opportunities to ease demands on the Wardens time
  • Co-ordinate diary and travel matters for maximum efficiency and ease and making the Head of the Wardens Office aware of any potential issues as soon as possible; taking responsibility for the planning, management and scheduling of often complex and demanding priorities
  • Ensure, in collaboration with the Head of the Wardens Office, clear and efficient communications on behalf of and for the Warden, including promptly and respectfully managing communications directed to and from the Warden, with urgent matters addressed as such
  • Ensure the Warden is appropriately prepared for engagements, including briefing materials, meeting space, refreshments and travel arrangements
  • Role modelling the Trust’s organisational values of commitment, inclusion, belonging, growth and innovation
  • Carrying out any other duties relevant to the role, as requested

Skills and experience

  • Experience of operating at a similarly high level in support to an Executive Director or CEO, including proven experience of effective task, diary and inbox management
  • Exceptional critical thinking, writing abilities and presentation skills are essential, with scrupulous attention to detail
  • Strong organisational and administrative skills with a proven ability to excel in the face of exceptionally high standards and tight deadlines
  • Comfortable working on a global scale and with international stakeholders
  • Outstanding IT skills including a keenness and aptitude to use IT to enhance efficiency
  • Proven ability to maintain confidentiality and exercise discretion, tact and sensitivity; the ability to handle personal information with an awareness of data protection requirements
