Cherwell College Oxford is a pre-university tutorial college dedicated to providing quality education and support to students pursuing their academic goals. Located in the heart of Oxford we offer a vibrant and inclusive learning environment for our GCSE and A-Level students.

Job Purpose

We are looking for an enthusiastic and dedicated individual with a background in education to serve as the first point of contact for all admission inquiries to the College, supporting the admissions process and promoting the institution to prospective students and their families. This role involves handling inquiries, managing application processes, coordinating courses, and contributing to the institution’s marketing and outreach efforts to attract and retain students. In addition, the Admissions Secretary will act as the coordinator for Easter Revision Courses and other short-term programmes within the College.

The successful candidate's responsibilities include processing inquiries, arranging interviews, coordinating College visits, initiating telephone calls, and managing correspondence with prospective students, parents, and agents. The role also involves participating in admission interviews, drafting memos and meeting notes, and ensuring the efficient and effective processing of College inquiries to drive admission numbers for both short-term and full-time programmes.

Key Responsibilities

  • Serve as the first point of contact for prospective students and families, providing friendly, accurate, and professional assistance.
  • Guide prospective applicants through the admissions process, addressing questions about programmes, entry requirements, and timelines.
  • Ensure visitors and callers have a positive and welcoming experience.
  • Manage application submissions, including reviewing forms for accuracy and completeness.
  • Organise and schedule interviews, College tours, and admissions events.
  • Maintain accurate records of applicants, ensuring all documentation is processed promptly and in line with institutional policies.
  • Collaborate with the Marketing team to create and distribute promotional materials, including brochures, newsletters, and emails.
  • Support the organisation of marketing campaigns, open days, and outreach events, representing the institution at fairs and exhibitions.
  • Contribute ideas for improving student recruitment strategies based on feedback and market trends.
  • Draft and send personalised communications to prospective students and their families, including follow-ups, reminders, and offer/acceptance letters.
  • Assist in developing and maintaining relationships with feeder schools, educational consultants, and other stakeholders.
  • Respond promptly and professionally to all inquiries via email, phone, and in-person visits.
  • Maintain up-to-date records in the admissions database both hard copy and electronically on local shared drive as well as CRM system (the College uses iSAMS management information software), ensuring compliance with inspection framework.
  • Collaborate with colleagues to ensure smooth daily operations.

Qualifications:

  • Undergraduate or equivalent.
  • Previous experience in education setting is a plus.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and basic office equipment.
  • Strong organisational abilities and attention to detail.
  • Ability to multitask and work in a fast-paced environment.
  • Confident telephone manner.
  • Excellent writing skills.
