About the role:
We are currently seeking an Examinations Officer to join our Examinations department at The Bedford College group.
As an Examinations Officer, you play an important role in the success of our students through:
- Ensuring the integrity of the examination process
- Providing a full exams administration service for students and staff in designated centre(s)
- Working in conjunction with the Senior Exams Officer/Exams Manager to deliver all examinations across all regional sites
- Despatching results/certificates and record achievement in a timely manner
- Conducting General Office duties
- Effectively communicating with relevant College departments, students and awarding bodies to ensure an effective Examinations Service
- Being responsible for the administration of procedures relating to the processing of all registration, examination and certification requests by the publicised deadline and in accordance with awarding body regulations
- Advising staff on all aspects of registration, examination and certification procedures.
- Following all on-line and paper-based examination procedures and ensure all examinations are scheduled in accordance with Awarding Body regulations
- Ensuring approved examination access arrangements are identified and appropriate examination resources prepared and delivered in accordance with Awarding Body regulations and statutory requirements.
- Assisting the Examinations Manager/Senior Exams Officer in the production of detailed monthly timetables, including booking rooms and invigilators based on availability and communicating any resource issues immediately
- Ensuring timely communication of examination dates, times, and venues to students and/or staff
- Checking that exam papers have arrived in good time for exams, logging their arrival and keeping confidential examination papers and materials secure at all times and in accordance with Awarding Body regulations.
- Chasing up non arrival of papers
- Being responsible for promoting and safeguarding the welfare of children, young people and vulnerable adults and for raising any concerns in line with college Policies and procedures.
- Being responsible for promoting equality and diversity in line with college procedures.
- Being responsible for following health and safety requirements in line with college policy and procedures.
- Participating proactively in training and development including qualification development required in the job role.
About you:
- Possess Maths and English GCSE A*-C or L2 equivalent
- Have experience of entering data on to computerised databases
- Have experience of working with confidential documentation and information
- Have substantial administrative experience in an office-based environment
- Have experience of taking responsibility for small projects
- Possess good IT skills including the ability to manipulate data using Microsoft Excel and the use of Microsoft Word
- Have proven ability to work as a team.
- Have excellent customer service skills
- Have excellent written and verbal communication skills
- Have excellent organisational skills through working experience
- Possess a proven ability to work calmly and effectively over periods of high workload and/or customer demand
- Possess a proven ability to meet deadlines
- Possess the ability to transport Examinations papers and scripts securely to all regional sites through use of own transport.
- Be willing to have some flexibility with working hours to accommodate occasional early starts and provide evening cover
