The Perioperative, Acute, Critical Care and Emergency Medicine (PACE) Section Administrator will be based within, Level 4, Department of Medicine, Addenbrooke's Hospital, University of Cambridge. At present the PACE Section has approximately 50 members of staff, including the PACE Section lead (Prof JP Coles), principal investigators (PIs), associate PIs (APIs), post-doctoral researchers, students (PhD, MPhil, MD), clinical academic trainees (specialised foundation programme (SFP), clinical fellows (ACFs) and clinical lecturers (CLs), clinical researchers, research nurses and research assistants. The PACE Section holds grant income of approximately £15 ¿ 20 million with an annual expenditure of over £3 million. The role holder will play a crucial role, with responsibility for the day-to-day administration of the PACE Section.

The Role

To co-ordinate and oversee the administrative operation of the PACE Section, Department of Medicine, and help ensure the delivery of high-quality research, teaching and patient care. The role holder is responsible for delivering administrative support across the PACE Section and will report directly to the PACE Section lead. Due to the wide variety of employees, the administrator must understand the needs of, and work with, the University of Cambridge, Cambridge University Hospitals, industry, research funders, and collaborating researchers in national and international hospitals and educational facilities.

Requirements

Develop and maintain office procedures. Review processes and develop systems for effective administration of the PACE Section, Department of Medicine. Maintain and archive records, update website/intranet content, publicity resources and materials, co-ordinate the use of facilities, equipment and storage, check and oversee repairs and report any health and safety issues.

Co-ordinate ordering of replacements/updates to PACE Section IT equipment and payments for access to computing resources. Administration/changes to PACE research web pages via Department of Medicine website.

Provide financial management and administration. Monitor expenditure against budget using the university financial system, authorise expenditure against budget, design and manage effective financial management systems, report on Section accounts, process expenses claims and invoices, authorise Barclaycard returns, raise purchase orders, procure equipment in accordance with University financial procedures and financial regulations. Liaise with University Finance to ensure that Section accounts and grants held are up to date and closed in a timely fashion.

Previous experience with supporting researchers preparing grant applications using X5/WorkTribe is desirable.

Some experience in University Human Resources (HR) related issues and processes such as holiday and sickness records, staff review and development, and also covering recruitment, visas, and working in a University/NHS environment is required.

Act as Personal Assistant to the PACE Section lead. Co-ordinate administrative support for research, teaching and learning support activities.

Take role of Fire Manager for PACE section on Level 4, Department of Medicine and participate in research freezer rota for alarm monitoring.

Fixed-term: The funds for this post are available for 3 years in the first instance.
