AES Experiential Learning and Living are a leading provider of educational support services and student accommodation in London.

The main responsibilities of the Academic Services team are:

  • Issuing all documentation for and assisting students with their UK visa application.
  • Co-ordinating the academic content of experiential learning programmes
  • Placing students in suitable internships to fulfil their academic & personal goals
  • Providing support, guidance and pastoral care for all students
  • End to end running of all experiential programmes (In-person and virtual)
  • Expanding and enhancing our programme offerings

Experiential Learning Programmes

This role will provide key administrative support to ensure the smooth running of our programmes, working directly with students, university partners and host employers.

Duties include:

  • Guide students through the internship placement process from beginning to end. Including (but not limited to):
  • Liasing with students to plan all internship interviews (both with AES and host companies)
  • Provide CV and interview advice
  • Recruit new host organisations via emails, phone calls & networking events etc. with weekly targets to meet.
  • Coordinate and plan mid evaluation assessments for all students with all relevant parties and being confident in representing AES.
  • Compile final evaluations to support Vice President of Academic Affairs (VPPA).
  • Assist Visa Compliance Officer with database applications and administration.
  • Ensure all enrolments comply with either Student Route or Tier 5 visa regulations alongside Visa Compliance Officer.
  • Report internship absences to the appropriate people/teams.
  • Actively gather and analyse feedback from students, gathered via formal and informal channels.
  • Contribute to the offering at AES including (but not limited to) enhancing processing systems and improving the student experience alongside the rest of the team.

Student Services

This role is student facing, and the position holder will play a key role in ensuring our students are enrolled successfully and have a first-rate experience during their time in London or on one of our virtual programmes. Duties include:

  • Assist in the delivery of all onboarding and orientation programmes including support and advice for students when re-locating to London.
  • Creation and distribution of all pre-arrival documentation including location guides, travel arrangements and Internship schedules for all students.
  • Provision of pastoral care for students on wide ranging issues including but not limited to workplace concerns, career advice and wellbeing alongside the rest of the team.

General

The position holder will join a small, and friendly team. There will be times when you may be asked to support other teams within the business and have a chance to broaden and enhance your skillset in other areas.

  • Undertaking team-related tasks and responsibilities as appropriate, and supporting other teams as required
  • Keep up to date with UK Visa and Immigration regulations regarding Student Route and Tier 5 visa requirements.
  • Attend UK and international internship sector meetings to keep abreast of sector developments.
  • Assisting with the development of the programme in line with quality assurance requirements (QAA).

Hybrid Working: 3 days office/2 from home (5 days in office whilst training)

About you

  • Educated to degree level
  • Highly organised with strong attention to detail
  • Fluent in English; verbal and written
  • Positive attitude and highly motivated 
  • Ability to prioritise work, and meet deadlines
  • Experience of providing administrative support
  • Good phone manner and confident in engaging with students and partners
  • Good interpersonal skills & a sympathetic attitude
  • Microsoft Office experience
