About the Role

As the Events Assistant, you'll be working closely with the Programmes and Visitor Coordinators, playing a vital role in our Programme and Visitor Support Team. You'll help ensure the smooth running of a wide range of events at the Institute, which welcomes around 3,000 visitors each year. Your role is crucial in making sure every delegate has a fantastic experience, from the moment they register to the post-event wrap-up.

You'll manage all aspects of our events using an electronic event management system. This includes liaising with event organisers and delegates, and coordinating with both our team and external stakeholders to keep everything running smoothly. Your keen attention to detail will help you collect and collate critical information, ensuring the success of each event. As the primary contact for enquiries, your friendly and problem-solving interactions will put everyone at ease and help find effective solutions quickly and professionally.

On a daily basis, you'll be involved in tasks such as:

  • Creating agendas and liaising on content;
  • Organising logistics, including accommodation requirements and lecture room bookings;
  • Preparing event materials;
  • Booking AV and IT support;
  • Selecting and ordering refreshments;
  • Organising additional external events, such as conference dinners.

The Institute and the Newton Gateway to Mathematics

The Isaac Newton Institute for Mathematical Sciences (INI) is a national and international visitor research centre running programmes on selected themes, with applications in a very wide range of societal, scientific and technological areas. The Institute attracts leading scientists, both from the UK and from overseas, to interact on research over extended periods.

The Newton Gateway to Mathematics is the impact initiative of the INI and acts as a knowledge intermediary for the mathematical sciences.   Supported by INI and the University of Cambridge, the Newton Gateway engages with the users of mathematics - in industry, business, public sector and other scientific disciplines. It helps to bridge the gap between those engaged in frontier mathematical research and those working in more applied areas, by stimulating the interchange of knowledge and ideas.  Typically, the Newton Gateway develops and runs 20-25 knowledge exchange activities per year as part of its programmes of work.

Fixed-term: The funds for this post are available until 31 March 2026 in the first instance
