Research and Innovation Services (RIS) provides UCL’s academic and professional services community with the tools, support, and expertise they need to deliver cutting-edge research and innovation. Our Contract Services team in Research and Innovation Services (RIS) plays a pivotal role in managing, facilitating, and negotiating contracts for research and innovation activity across UCL. UCL has seen unprecedented success in the volume of successful grants in recent years. This, alongside growth in complexity of the international research environment, has increased the scope and reach of UCL's contracting team.

In response to this growth and complexity, and as part of a suite of strategic changes to UCL's research and innovation support, we are we are investing in a programme of transformation around UCL's research and innovation contracting, bringing in additional capacity, expertise and development opportunities.

About the role

Contracts Assistants support the Contract Services team to facilitate the timely administration of contracts and provide administrative support.

Specific duties and responsibilities include:

  • Preparing and distributing contracts and supporting documentation both internally and externally to UCL, including organization of the signature process, liaising with academics and students as appropriate.
  • Building close working relationships with relevant UCL department administrators or managers.
  • Undertaking searches of the UCL systems and Worktribe (or relevant UCL database) as required.
  • Monitoring and chasing replies or actions both internal and external to UCL, including responses to queries.
  • Assisting the Contracts Team with the arrangement of internal and external meetings, collating agenda points and producing minutes as required.
  • Undertaking general administrative tasks to support the functioning of the Contracts Team, including Purchase Order creation and managing, monitoring and responding to queries from the team.

Interviews will be held in-person on our Bloomsbury campus on 16th December.

You enjoy a challenge and being a part of a research and innovation environment that makes a difference to lives around the world. Your day to day will be contract support-related, but the role will also suit those keen to develop their skills and contribute to an exciting change agenda.

You will be able to demonstrate the following key skills and experience:

  • Experience of providing administrative support to a team who manage high volumes of work, in a complex environment..
  • Experience in preparing reports including status reports and reports drawing on data sources to provide useable management information.
  • Strong interpersonal, verbal, and written communication skills
