Contract Type: Full-Time, 40 hours per week inc. a 1-hour paid lunch break per day

Working Location: Hybrid – 3 office days and 2 work-from-home days. Off-campus events are considered office days

Job Purpose

We are seeking a motivated and proactive self-starter who excels in dynamic environments, adapts quickly to change, and overcomes challenges with minimal supervision. The ideal candidate is a fast learner, eager to explore new concepts, and someone who isn't afraid to hear no and embrace failure as an opportunity to improve

The primary responsibility of the post holder will be to provide high-quality, student-centric advice and guidance to individuals enquiring about our undergraduate programmes. This involves enquiry management, ensuring prompt handling of enquiries, administration, and operational tasks. It is crucial for the postholder to have exceptional communication skills and be confident in conducting phone conversations to qualify leads for eligibility, and possess good organisational skills to track, monitor and report on lead quality and progress.

Furthermore, the post holder will play a vital role in supporting various student recruitment activities and events, such as open days, campus tours, and representing the institution externally. Therefore, a flexible approach to working hours, which may include occasional weekends and evenings, as well as travel within the UK, is required.

Roles and responsibilities

Enquiry Management

  • Manage enquiries and provide relevant information and guidance about SP Jain London and its programmes through different communication channels (emails, telephone calls, CRM systems, in-person) to a high standard.
  • Respond and follow up with enquiries in a timely and accurate manner.
  • Ensure lead data is captured and kept up to date through CRM systems.
  • Develop and maintain a central bank of resources and information to enable a consistent and accurate approach to enquiry management.
  • Qualify new leads and work with Student Recruitment Managers to convert to application and beyond.
  • Track, monitor and report on enquiry statistics.
  • Experienced in providing excellent customer service.
  • Ability to communicate specialist information orally and in writing to a wide range of audiences.
  • Ability to establish and maintain relationships with internal and external stakeholders.

Events Support

  • Support the organisation and delivery of student recruitment activities, such as open days, campus visits, masterclasses and webinars
  • Maintaining resources to ensure successful operational delivery of recruitment.

Student Recruitment

  • Individually represent the institution and its portfolio of programmes at nominated external recruitment events.
  • Work with admissions to ensure relevant documentation has been received for shortlisted applicants.

Other

  • Provide administrative support to the team as well as the wider department if required.
  • Any other reasonable duties that fall within the scope of the post as allocated by the line manager

Person Specification

Qualifications

  • Educated to degree level (Essential)

Experience

  • Experience of working in a customer-focused environment (Essential)
  • Experience of working in an administrative environment, dealing with queries and providing advice and guidance (Essential)
  • Experience of student recruitment, student marketing, outreach, or admissions in a Higher Education setting (Essential)
  • Experience with event management (Desirable)
  • Experience in maintaining electronic records and sending communications to audiences through Customer Relation Management tools or systems, such as HubSpot/Salesforce (Desirable)
  • Experience of Telemarketing (Phone and Email) (Desirable)
  • Knowledge of the UK secondary and Higher Education system (Desirable)

Skills/Aptitude/Competencies

  • Excellent time management, project management and organisational skills (Essential)
  • Excellent interpersonal, presentation and engagement skills (Essential)
  • Able to easily and confidently talk to new people and open conversations (Essential)
