This is a unique opportunity to join the growing team at East Midlands Freeport, providing a varied and comprehensive support service to the Executive Delivery Team, Board and Partners. 

Alongside the usual tasks you’d expect as an Executive Assistant to our company’s Chair and Chief Executive (including managing their diaries, minute-taking and arranging logistics to make sure key meetings and events run smoothly) you’ll also lead business management for the office. That means you will be responsible for making sure our processes for managing contracts, paying invoices, managing IT and HR services, to name a few, are effective and working well. 

You should be an experienced and proactive problem solver, able to manage multiple priorities with minimal support. You’ll be interacting with senior stakeholders regularly, so you’ll need to quickly develop effective working relationships with people at all levels.

About You

To apply for this post, you should have: 

  • Significant experience in relevant business support roles, such as Executive Assistant, Personal Assistant, Office Manager, Business Support Officer.
  • Proven experience of a wide range of administration skills, including diary management, accurate minute taking, event coordination and financial administration.
  • Proven experience in engaging with and coordinating and managing contracts for corporate services, including expenses, payroll, HR etc.
  • Experience preparing reports, spreadsheets, correspondence and other documentation.
  • Excellent interpersonal and communication skills, in particular demonstrable experience interacting credibly with senior public and private sector stakeholders.
  • Experience of establishing, developing and maintaining administration systems, processes and procedures, adopting a continuous improvement approach.
  • Significant IT skills, including proficiency in MS Outlook, Word and Excel. MS Project (or equivalent) and PowerPoint are desirable but not essential.
  • Strong organisational skills, confidence to work autonomously, flexibly and at pace to prioritise workloads effectively.
  • Experience of building and developing effective working relationships across stakeholders, peers and partners.
  • Ability to work proactively as part of a wider team, supporting colleagues when required. 

It isn’t necessary to have a detailed working knowledge of Freeports, but some sectoral and/or regional experience is useful as you’ll need to quickly get up to speed in new fields and operate credibly with senior leaders.

Initially the office base will be at County Hall in Leicestershire, with the opportunity to work from home for 2-3 days each week. There is a requirement to travel across the East Midlands on a regular basis.
