Annual Leave: 25 days plus standard public holidays and an additional 4 days including the closure of our office between Christmas and New Year
Main duties and responsibilities
This is an exciting opportunity for the post holder to take ownership of this new role, and to provide admin support to the Student Procedures Team, Manager and Executive Assistant to the Dean of Students on a wide range of matters, sometimes of a highly confidential nature. This is a busy, enterprising environment; you will be responsible for a portfolio of administrative activity. As the point of contact for internal and external stakeholders, you will often be the first interaction colleagues have with the department, and therefore excellent communication skills are vital.
Skills and experience required
The post holder will have proven experience of working in an administrative role within a complex and dynamic organisation and can clearly demonstrate how they have a good understanding of customer care, with a polite, helpful and confident telephone manner. You will have good IT skills, with the ability to use MS Office (Outlook, Word, Excel) and databases, have a good understanding of, and be able to deal with sensitive material with strict confidentiality, always maintaining tact, diplomacy and discretion. You will possess the ability to collect, process and present complex data, whilst communicating in a variety of different formats to different audiences. Your approach to work will be methodical with good attention to detail, working both accurately, under pressure, and to tight deadlines, dealing with conflicting priorities with minimum supervision.
You must be able to demonstrate initiative and the ability to learn new skills. This role requires you to be able to update internal and external facing pages relating to appeals, complaints, misconduct and development of process, easy read charts for students and staff, including FAQs on an annual basis.
You will be well organised in your approach, and able to manage your time effectively. The workload may include several tasks at once, including scheduling numerous student panels, providing administrative support and coordinating paperwork for meetings or forums, as a result you will need to be flexible and adaptable to team and workload requirements. You will work effectively in a team setting, with a can-do attitude to problem solving. You will be self-motivated and able to work independently, but knowing when it is appropriate to refer matters to others. It is essential that the successful candidate is numerate and literate.
Qualifications required
The post holder will be educated with A-Levels or equivalent or proven professional work experience.
