This post is full time and permanent, working 35 hours per week.

The post holder will be expected to work on site for a minimum of three days per week.

This post provides high level and confidential administrative support to the University Secretary and Chief Operating Officer (USCOO), with specific responsibility for diary co-ordination, managing internal relationships with external stakeholders and internal colleagues; travel arrangements and associated administration. The post holder will also assist the senior Finance team and the Vice-Chancellor’s Executive Manager as required in supporting the senior team in the Vice-Chancellor’s (VC’s) Office.

The post holder will manage internal relationships with external stakeholders and internal colleagues, as well as manage all correspondence and communications discreetly and effectively. They will proactively manage the USCOO’s diary, whilst providing excellent administrative support with data management, correspondence, presentations, and email, as well as ad hoc research when needed.

The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. You should have experience working in an office environment, with an exceptionally high competence in the Microsoft suite of products, particularly Word and Excel, including managing online meetings through Teams, performing administrative duties and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be collegial, flexible and consistent while maintaining the confidentiality of high-level systems and operations.
