Systems and Data Manager

Metanoia Institute

ROLE PURPOSE:

The Systems and Data Manager will support the needs of the Institute through data-driven decisions and the continuous improvement of business processes and software platforms. The role will provide support to senior members of support departments with the delivery of personnel and student recruitment reports, and the data analysis required for continuous improvement. The role will also provide support with product management and troubleshooting for Institutes systems. They role will provide context on the importance of data presented, identifying trends and insights to all key stakeholders.

ROLE and RESPONSIBILITIES:

  • Develop good understanding of required systems in the Institute and be able to share best practice across the team.
  • Take lead on coordinating the implementation of new systems in liaison with relevant supplier account managers.
  • Take lead on coordinating the training Programme for staff on new systems, providing expert advice and training to new staff including creation of manuals.
  • Supporting users and managers to understand and make the most of our systems.
  • Log and trouble-shoot system issues, either in-house or in liaison with relevant Supplier Account Managers
  • Escalate necessary fixes or desired innovations to relevant Supplier Account Managers and stay informed on upcoming releases and developments.
  • Monitor data quality on systems to ensure accuracy and upload relevant datasets as appropriate.
  • Import and extract data from systems used by the Institute and cleanse/manipulate data to present findings to key stakeholders.
  • Create data dashboards for easily accessible and reliable information.
  • Ensure data is collected accurately, efficiently, and on time; stored appropriately according to current legislation; and easily accessible.
  • Cleanse and merge data drawn from various sources, identifying errors and anomalies and investigating as appropriate.
  • Design, create, manage and report on surveys.
  • Ensure all data records are catalogued and archived accordingly.
  • Identify opportunities to improve data to support wider data analysis.
  • Monitor and document processes, systems and practices in place for data use.
  • Spot opportunities to improve processes and make recommendations to the Head of Operations.
  • Collaborate closely with team members and other key contacts across the Institute.
  • Build and maintain a thorough understanding of Institute’s offerings, to work more effectively with stakeholders across the organisation.
  • Provide training to department members to upskill them in the use of department systems to increase self-sufficiency.
  • Production of high-quality reports, with the identification of trends and issues as reasonably requested by the Head of Operations or the Chief Executive Officer

Essential Skills and Experience

  • Educated to Degree level.
  • Further education or equivalent, especially in data or analytics related subject
  • Experience of software packages related to own area of specialism.
  • Sound working knowledge of standard IT packages, CRM systems and/or databases.
  • Knowledge and Experience of HE Sector
  • Ability to interpret and apply guidelines to a specific activity.
  • Working knowledge of data analysis and performance/operation metrics
  • Proven experience in similar role
  • Experience of training/mentoring staff/students to use systems for task efficiency, appropriate data entry and recording.
  • Experience of HE VLE’s, specifically, Moodle/Blackboard
  • Experience of creating data dashboards to inform decision making.
  • Excellent client and stakeholder experience and ability to address a variety of stakeholders.
  • Highly developed communication skills

  • Excellent time management skills with the ability to organise and prioritise.

Desirable

  • May hold vocational qualification.
  • Knowledge of Student information systems such as Quercus, or other HE systems
