The role

The Residential Facilities team within Campus Division is looking for Support Assistants who will ensure the efficient operation of the residential estate, the post holders will serve as primary point of contacts for staff and students within our student villages. Responsibilities will include performing administrative tasks, addressing questions and inquiries through email, phone, and in-person interactions, and exercising discretion and initiative in resolving issues. Prioritisation of tasks will be essential to maintain smooth operations. The post holder will also log inquiries and generate reports and management information for the Residential Facilities Management team.

Two posts will be based at Clifton Hill House reporting to Andy Langford and the other two will be based at Hiatt Baker reporting to Paul Parker.

There will be two shifts on a weekly rotational basis working 07.00 – 14.30 & 11.30 – 19.30.

What will you be doing?

Address queries from students and parents.

Assist with accommodation access, including issuing keys to students, staff, and contractors.

Handle routine administrative tasks like compliance data assessments, coordinating absences, managing meeting rooms, taking minutes, logging inquiries, managing databases, and tracking progress.

Follow ordering procedures to maintain a sufficient inventory of supplies and resources, ensuring all necessary materials are readily available. Offer initial pastoral support to students experiencing stress or unhappiness.

You should apply if

Good communication skills for effectively addressing queries from students and parents.

Organisational skills for managing accommodation access and issuing keys.

Proficiency in routine administrative tasks such as compliance data assessments, absence coordination, meeting room management, minute-taking, inquiry logging, database management, and tracking progress.

Ability to follow established ordering procedures and maintain inventory of supplies and resources.

Empathy and interpersonal skills to provide initial pastoral support to stressed or unhappy students.

Initiative and problem-solving abilities to handle issues as they arise.

Discretion and confidentiality in managing sensitive information

Shift pattern: 35 hours per week
