Psychoanalytic Electronic Publishing, Inc. (PEP) is a non-profit that publishes the largest online collection of psychoanalytic journals, books, and videos. PEP-Web is the platform that houses our online archive. Founded in the 1990s, PEP has grown into an indispensable resource among psychoanalysts, academics, and anyone with an interest in mental health. Our subscribers include universities, healthcare trusts, hospitals, societies, and individuals in all 6 continents.

The Role

We are looking for an Operations Manager to join us on a part-time permanent basis, working 3 days per week. The Operations Manager serves as the lynchpin of our organisation, connecting the strategic vision of the CEO and the Board into action. The post holder will have the opportunity to shape the efficient delivery of PEP’s operations. This is a dynamic role that will allow the post holder to develop their skills and career.

Responsibilities

  • Supervise and manage PEP’s administrative and operational tasks.
  • Work with the CEO to establish operational objectives, developing and executing operational plans that will help achieve those objectives, track performance, and manage risks.  
  • Proactively identify opportunities to improve operational processes and propose innovative solutions.  
  • Support the CEO in preparing for the bi-yearly board meetings: including drafting and circulating agendas and other documents, liaising with directors to facilitate travel and board arrangements.
  • Manage and cultivate PEP’s relationships with publishers, editors, authors, and filmmakers. This extends to overseeing the yearly round of calculating and actioning royalty payments and collaborating with the CEO on steering contract negotiations.
  • Take the lead in PEP’s finances and assist PEP’s accountant with book-keeping tasks. This includes, but is not limited to, accurately keeping track of, and paying invoices & expenses; carrying out tasks to help with the preparation of monthly management accounts.
  • Participate in the development and management of the operational budget, identifying efficiency and cost saving improvements to control expenses; contribute to increase revenue through the optimisation of the operation.
  • Undertake other duties and lead on other projects as may be reasonably required.

Essential Skills

  • Significant experience in an operational and management role.
  • Strong leadership qualities with proven ability to motivate teams and provide direction.
  • Practical experience in budget development and oversight.
  • Outstanding organisational and administrative skills.
  • Ability to find better, more efficient ways of working.
  • Professional in attitude and able to maintain tact, discretion, and confidentiality in all areas of work.
  • Excellent communications skills.
  • Excellent computer literacy, particularly experience in Microsoft suite (Excel), and an aptitude for learning new applications.

No sector-related experience is required.

Arrangements

  • This is a permanent part-time position for 3 days per week (60% FTE)
  • The role is London-based, although we welcome a conversation about flexible working and your needs
  • Salary: Between £48,000 to £53,000 pro rata (3 days per week).
  • Benefits: 26 days leave per annum (prorated) in addition to bank holidays; private pension scheme.
