Role Summary

The School of History and Cultures is looking to recruit a School Administrator to provide comprehensive support to the management team and academic staff across the school. The post holder will be the first point of contact for visitors, callers and general staff enquiries. Support for Finance, Facilities and Human Resources processes will also be integral to the role. 

The post holder will provide administrative support to key academic staff in the school which may include Heads of Department, Head of Education and Head of Research, including arranging ad-hoc meetings, booking rooms, preparing and distributing paperwork and minuting meetings. Facilities and IT support, including logging calls on behalf of staff for specialist support and following responses through to task completion will also be part of the responsibilities of the post holder. The post holder will undertake some financial processing and events management too. In all areas of activity, the post holder will be required to provide outstanding customer service and support and be confident in dealing with confidential information. 

Main Duties

Acting as a point of contact to provide accurate and timely information and advice to internal and external customers and stakeholders 

  • Regularly communicate relevant information to students, staff and external contacts.
  • Provide administrative support for diary or event planning.
  • Process data, monitoring accuracy, chasing up missing information, and escalating any issues as appropriate.
  • Use a variety of complex University systems and processes to research, manipulate, analyse and interpret sets of data, and produce reports.
  • Maintain working relationship with key stakeholders
  • Offer advice and support to others on area of activity.
  • Review processes and tasks and proactively offer suggestions for improvement
  • Provide a professional secretarial service to relevant committees and meetings.
  • Supporting equality and values diversity, moderating own behaviour to avoid unfair discriminatory impact or bias on others.

Person Specification

  • Evidence of the skills and ability to undertake the role.
  • GCSEs to a minimum of grade C/4 in English and Mathematics grade C minimum (or equivalent level 2 qualification).
  • Good IT skills with working knowledge of standard Microsoft Office software.
  • Ability to take responsibility for specific tasks, carrying out duties without needing to refer to others, with scope for some choice and using your own judgment.
  • Ability to work on your own initiative.
  • Ability to proactively contribute to improving processes and for proposing new ways of working.
  • Excellent communication skills
  • Well organised with the ability to prioritise work proactively
  • A good understanding of how to deliver excellent customer service.
  • Experience of using and maintaining complex work systems e.g. student databases/finance record systems/HR systems or equivalent
  • Experience of supporting committees in a secretarial capacity.
