An exciting opportunity for an efficient and reliable PA / Project Coordinator with excellent administrative and organisations skills has arisen. They will join the small, friendly team based at the Isaac Newton Institute for Mathematical Sciences during the critical setup phase of the Academy for the Mathematical Sciences.

The role

This is a wide-ranging and interesting role in a fast-paced and dynamic environment.

  • The post holder will provide administrative and PA support to the Executive Director including: diary management; responding to emails; organising meetings; drafting, preparing and circulating agendas and papers; taking minutes and following up on action points. They will be responsible for the project's document management and mailing list management.
     
  • They will carry out financial administration including raising purchase orders, and processing invoices and expenses claims in accordance with University financial procedures and regulations.
     
  • They will provide Project Support to Workstream leads and members of the Executive Committee and Advisory Board including: monitoring progress of the project and maintaining and updating project records; updating project plans; monitoring and reporting on project milestones, resources required, deadlines and deliverables.

  • They will provide support to the Policy Unit and will maintain and update the project website, produce promotional material, publicise events and activities, and disseminate information using appropriate media.

Previous experience of administrative work and project management is essential along with the ability to work confidentially and with a wide range of individuals. Excellent organisational skills, flexibility and the ability to independently are also required.
