Main Functions

  • Supporting the university in the effective planning of its academic delivery, and oversee as appropriate the University’s timetable and workload allocation systems.
  • Providing effective timetabling of students, staff, courses and rooms, and delivering high quality and timely solutions.
  • Co-ordinating with services/academic groups for the collection of information in relation to timetables and statutory returns.

Principal Duties & Responsibilities

  • Deliver and develop the Universities timetabling function; provide data, information and reports, take responsibility for the successful provision of a high quality, consistent and comprehensive timetabling service to staff and students.
  • Provide professional advice and guidance for university colleagues on timetabling processes and procedures to improve quality and compliance. Maintain a close working relationship with those with specific timetable and data responsibilities.
  • Create and maintain relevant training documentation and provide training and/or presentations to varying audiences across the university, on timetabling/space management/attendance monitoring, and manage the team webpages.
  • Develop and maintain a comprehensive understanding of the University’s complex curriculum and estate; be proactive in keeping up-to-date with change and be responsive and creative with solutions to issues.
  • Liaise with course leaders, subject group leaders and administrators over matters of course/module delivery for timetable purposes. Support students, academic and administrative staff with timetable and register queries.
  • Undertake surveys of timetabled activities.  Analyse and interpret the survey results to ensure space utilisation is to a suitable standard, supporting the University's academic commitments.
  • Under the direction of the Senior Analysis and Evaluation Officer, act as institutional lead for the corporate timetabling system (CELCAT) and attendance capture systems.  Attend appropriate external events as a representative of the University of Greater Manchester (e.g., user groups).
  • Develop knowledge and understanding of the university Workload Allocation Model and support delivery of this by acting as one of the Core System Administrators across the institution.
  • Maintain a good working knowledge of university student record system (SITS), in particular the aspects directly affecting timetabling activities.
