The  Centre for Academic English  delivers high quality academic language and literacy provision to support scientific research and teaching at Imperial College London.  We are looking for an experienced administrator with excellent data management, IT and interpersonal skills to ensure the smooth operation and expansion of the Centre’s pre-sessional programme and to collaborate with the Centre’s Programme & Operations Manager to support the delivery of the in-sessional provision.

The post holder will report to the Deputy Director and the Programme & Operations Manager and operate as part of the CfAE team.  They will coordinate  the administration, support the Centre’s annual cycle and contribute to the development of all CfAE provision in its role as a founder member of the Institute of Extended Learning .

What you would be doing:

  • Administering pre-sessional provision and specific areas of in-sessional provision
  • Supporting the set-up of the pre-sessional courses each year including review of changes, liaison with the relevant teams across Imperial, and updating of the pre-sessional web pages
  • Downloading and formatting reports on applications from the university systems to provide accurate application numbers and class lists
  • Creating and maintaining course timetables in CELCAT, the university’s timetabling system, and booking appropriate rooms
  • Managing the in-course administration including dealing with student enquiries and supporting course coordinators,
  • Supporting the final assessments for the 6-week course, including the processing and reporting of the results
  • Assisting in researching, analysing and compiling data for the pre-sessional annual report, highlighting areas for development and supporting improvements in systems and procedures as required

What we are looking for:

  • Excellent IT knowledge and proficient in use of Microsoft 365 suite of applications and able to learn new systems and applications quickly
  • Strong data management skills and use of data management systems
  • Proven strong experience in multi-tasking and the flexibility to respond effectively to changing demands and priorities
