The Royal College of Art is seeking an experienced Space & Moves Planner to join our Estate Development team within the RCA Estates Directorate. This is an exciting opportunity to contribute to the College’s space planning and move management services as part of a rolling programme of capital works projects across our three campuses. The role plays a crucial part in ensuring the RCA provides a safe, secure, and productive campus environment for students, staff, and visitors.  This role is to start as soon as possible to cover the maternity leave of the current postholder for up to a year.

About the Role

The Space & Moves Planner serves as a technical expert in space management and move coordination, supporting the Director of Estates in delivering a range of projects from capital works (£1m-£5m) to minor works (£100k-£1m) and small works/moves (up to £100k). The role involves managing a portfolio of moves projects, overseeing external team members, and ensuring optimal space allocation to support world-class teaching, learning, and research.

Working closely with the Deputy Director - Estate Development and Head of Space & Moves Management, the Space & Moves Planner liaises with internal stakeholders, appointed contractors, and professional consultants to facilitate seamless project execution.

Key Responsibilities

Space Planning & Design

  • Produce electronic design information (CAD drawings) to support projects across all RIBA Plan of Work stages.
  • Update and manage a central database of CAD drawings and building data for the College.
  • Ensure all space designs comply with DDA, Fire, and welfare regulations.
  • Conduct bi-annual space audits and monitor real-time space usage with sensors.
  • Support the annual estates management record (HESA reporting).

Moves Management & Project Delivery

  • Lead small works and move projects, ensuring quality, timely delivery, and adherence to budget constraints.
  • Act as a primary liaison for project stakeholders, providing clear communications regarding moves and space allocation.
  • Procure and manage external consultants and suppliers, ensuring value for money and project efficiency.
  • Monitor project milestones, manage risk registers, and ensure compliance with contractual, health & safety, and RCA policy requirements.
  • Assist in preparing tender documentation, cost estimates, and procurement strategies.

About You

We are looking for a highly organized and proactive professional with:

  • Strong technical expertise in space planning and move management.
  • Proficiency in AutoCAD and space management software.
  • Experience managing multiple projects within an estates or facilities environment.
  • Excellent stakeholder management skills and the ability to communicate effectively across diverse teams.
  • Familiarity with building regulations, DDA compliance, and space utilization strategies.
  • A problem-solving mindset and ability to work under pressure to meet deadlines.
