UCLC is seeking an Office Administrator to be an integral part of the company.

UCLC offers a comprehensive service for UCL academics wishing to undertake consultancy work and clients wishing to commission UCL experts on a consultancy basis. We make it easy for our external clients to access and engage UCL’s world leading academic expertise and facilities, and for our internal clients to find, engage, deliver and get paid for external consultancy work, and help protect them from the associated risks.

We work with our clients from project idea to completion, including developing new business propositions and opportunities; scoping requirements; developing a proposal; determining the correct fees; negotiating and concluding the contractual agreement; invoicing and debt collection; and project managing the delivery of a variety of projects, which deliver societal impact nationally and globally.

Our projects cover four areas:

  • Academic consultancy
  • Expert witness services
  • Bespoke short courses
  • Testing & analysis services

We have a requirement for an experienced Office Administrator to support the efficient and effective operation of our office.

PERSON SPECIFICATION

Qualifications

  • Educated to degree level or equivalent level of knowledge acquired through experience and training/development.

Knowledge & Experience

  • Experience working in an office administration-based role that meets the JD requirements, including acting as first point of contact externally.
  • Excellent administrative and organisational skills including a structured and methodical approach e.g. accurate collation and maintenance of project information and data, document filing and maintenance, ensuring allocated deadlines are monitored and met.
  • Ability to work to set deadlines on own initiative, prioritise and organise competing workloads and work independently.
  • Ability and experience of handling a challenging role with confidence, initiative, adaptability, self-motivation, and attention to detail.
  • Strong interpersonal skills with an ability to communicate confidently,intelligently and effectively with colleagues, academic staff, all levels of management and external clients.
  • Ability to maintain and handle personal data in accordance with the most up to date General Data Protection Regulation (“GDPR”) (onboarding and ongoing refresher training will be provided by UCLC)
  • Proficient in MS Office Microsoft Word, Excel, PowerPoint and Outlook.

Desirable

  • Previous experience of providing HR administrative and software technical support.
  • Previous experience of working in the higher education sector.
