The role

To provide administrative support to the Compliance team within Building services. The role balances the peaks and troughs of different administrative support activities and provides support to the wider Divisional team, under the direction of the Manager so as to deliver the most effective service across the range of activities the School/Faculty/Division provides.

This is a fixed term contract until May 2025.

What will you be doing?

  • Develop filing and administrative systems, spreadsheets, web pages, reports and other documents as required to ensure relevant information is available to those who need it.
  • Gather and manipulate routine data so that others can interpret it.
  • Handle confidential documentation with appropriate care including documentation supporting recruitment where appropriate
  • Deal proactively with queries on behalf of the Manager including more complex queries raising issues of concern where necessary to ensure resolution of problems.
  • Use and understand central databases and information systems relevant to area of work.
  • Order and receipt items to manage supply of goods and services
  • Arrange & service team/departmental or Faculty level meetings through drafting agendas, preparing papers, taking & circulating minutes, identify action points and follow-up actions
  • Arrange travel, complete expenses as necessary and provide administration support for ad-hoc events and activities
  • Undertake diary management for senior managers and/or academics.
  • Manage communications for the senior manager by acting as primary contact for all enquiries referring on as necessary 

You should apply if

  • Excellent communication and interpersonal skills with the ability to take ownership of problems and find solutions
  • Ability to be discreet and protect confidentiality
  • Experience of working in a busy and demanding environment, under pressure at times; to produce accurate work to deadlines.
  • Proficient in Microsoft Office suite of software, e-mail and web, and general office systems
  • Have experience with raising work orders and processing invoices.
