Who you are:

The Associate Director oversees the planning and delivery of all CIEE programs in collaboration with the Centre Director. This includes coordinating tasks among team members, implementing guidelines and policies, monitoring logistics and operations, and supporting the finance and admin team. The position is also responsible for managing financial, accounting, and banking needs, ensuring compliance with administrative policies, and working with the Portland Financial Department to maintain financial controls and standards. Additionally, S/he supports the Center Director in managing CIEE's UK-wide identity and is also responsible for HR, payroll, contracts, legal processes, and  overhead budget and expenses of the Center.

What you’ll do:

  • Deputizing for the Center Director or acting as interim during their absence.
  • Managing finance tasks such as ensuring availability of funds, timely payment of bills, grant emergency loans to students, serving as the primary liaison with the bank, managing petty cash funds, coordinating budget and forecast process, and participating in the forecasting process.
  • Handling accounting tasks including entering payment transactions, managing accounts within established policies, verifying expense coding and check issuance, recording proper documentation of spending, ensuring correct booking of expenses, preparing timely and correct expense reports, making monthly reconciliation of finances, and ensuring proper documentation for the UK Accounting.
  • Managing the CIEE UK Legal Entity by handling the UK Visa & Immigration Sponsor License, coordinating CIEE’s participation in the UK Higher Education Quality Assessment Exercise, and managing annual accounting and reporting returns to Companies House.
  • Handling contracts, payroll, and HR tasks such as compiling requests for temporary staff contracts, requesting contracts for temporary staff to external consultants, distributing contracts for temporary staff for signature, providing monthly payroll information to Human Resources, managing the Work Time Tracking of the staff according to UK law, ensuring monthly payment of staff and faculty payrolls, and providing and managing the medical examination for the non-temporary staff according to UK law.
  • Monitoring budgeted spending for the Center’s overhead expenses.
  • Providing support to other Directors in the Financial area of their departments.
  • Ensuring the application of the GDPR (Data Protection).
