We are seeking an enthusiastic, dedicated member of staff to work with us as an estates and campus service administrator on a permanent basis.

Job Purpose:

We are seeking a suitably skilled and qualified individual to work within our Estates and campus department.  You will support the running of the campus facilities. Leising and supporting soft facilities management (FM) contractors to undertake their duties, ensuring the college is maintained to the highest standards.

Key Accountabilities:

  • You will have responsible for liaising with soft FM contractors to undertake work on campus.
  • Update and maintain the estates in-house documentation, maintaining our customer facing SharePoint page.
  • Produce requisitions for orders, including quotes, price check, using the PECOS system for procurement. Items such as tools, landscaping equipment, goods and materials.
  • Provide secretarial support in producing agendas and taking minutes at team and contract meetings.
  • Monitor inhouse helpdesk database by triaging requests, liaising with customers and maintain database system. Liaising with college Hard FM contractor GTFM.
  • Monitoring and maintaining consumable spares and materials, College pool car administration.
  • Support day to day activities and events with estates officers and supervisors.

Essential Criteria:

  • We are looking for an individual who has a keen eye for facility standards as well as a pragmatic approach to the smooth running of the campus estate. Develop open and transparent dialogs with all our contractors to ensure cross learning for mutual benefit to both parties. The successful candidate will need to be, highly organised, have an attention to detail and demand high standards from our contractors. Confident to be a key member of our estates team, to share our goal to give our student the best environment to develop as well as ensuring our staff have the best facilities to deliver curriculum excellence.

Please note: the successful post holder will need to pass a satisfactory PVG Scheme check through Disclosure Scotland/Financial Check/Medical prior to commencing employment.
