Salary: Full time starting salary is normally in the range £28,397 to £30,210, with potential progression once in post to £33,938. Grade 5 

The Operations Coordinator role will jointly support (50/50), the Institute for Interdisciplinary Data Science and AI (IIDSAI), and Birmingham Institute for Sustainability & Climate Action (BISCA).

The Birmingham Institute for Sustainability & Climate Action (BISCA) facilitates and delivers world-leading, transdisciplinary research on sustainability and fosters climate action for the research community, decision makers, and wider society – leading to better livelihoods and a more sustainable environment in a rapidly changing world.  

The Institute for Interdisciplinary Data Science and AI (IIDSAI) is a nexus for collaborative research. Working across all five Colleges and with a range of strategic external partners, the Institute develops and fosters a culture of continuous interaction to develop and apply cutting-edge data-driven technologies in important in areas including sustainability, equality, health, and data-driven science.

The Operations Coordinator will support the Head of Institute Operations with the day-to-day operational running of the Institutes and the Elm House shared operations office. The post-holder will coordinate the efficient and effective operations of the Institutes/Elm House Hub, offices, meeting, teaching and collaborative spaces supporting the outstanding delivery of the Institute’s research, teaching and other interdisciplinary activities.

Liaising with Professional Services and Academic Staff across the University, as well as Institute external partners and collaborators, will be a key aspect of this role. This role will have responsibility for event co-ordination and supporting/co-ordinating internal and external communications.

The Operations Coordinator will also provide Senior Personal Assistant support to the Institute Directors.

Main Duties:

  • Maintain and develop effective administrative systems to ensure the smooth running of the activities within the Institutes and Elm House, and work with the Head of Institute Operations on developing new practices to obtain greater operational efficiencies.
  • Independently deal with a wide range of more complex enquiries and correspondence.
  • Event coordination.
  • Act as Personal Assistant (PA) to the Institute Directors, providing high-level administrative support; complex diary management, meeting preparation and administration, UK and overseas travel coordination.
  • Coordinate the Institutes’ internal communications, web presence, mailing lists and other methods of disseminating news, opportunities and events.

Person Specification:

  • Educated to at least Advanced Level (or equivalent qualifications and work experience) and hold at least a GCSE in Mathematics and English at C or above (or equivalent).
  • Experience of working in large and/or complex organisations, particularly co-ordinating work activities across multiple departments/areas.
  • Experience of coordinating events and delivering professional external communications.
  • Excellent demonstrable interpersonal, organisational, team working and communication skills.
  • Aptitude to prioritise own workload and to complete all tasks accurately and to a routinely high standard, with an appreciation of longer-term implications and taking account of all stakeholders.
